The permanent Executive Assistant /Office Manager is an ideal role for an energetic, ambitious go-getter with considerable experience as a PA/office coordinator within a professional environment.
You will provide proactive support for the CEO, Senior Team members based both in Dublin and the UK.
Manage, co-ordinate and maintain the calendar of CEO and Senior Team including appointments, meetings and travel plus complex and extensive diary management.
Organising internal and external meetings on behalf of CEO
Organising extensive travel and all logistics involved for team
Scheduling key internal and external meetings and assist with meeting prep
Client operations support the administration
Assist with event management and Board meetings
Management of admin team/support staff
Liaison with Chairman and Board members on a regular basis
Arrange Board meetings
Manage the Admin team in this growing organisation
You will be high energy, hardworking, someone, who excels in a dynamic and ever-changing environment
Strong ability to use own judgment, excellent communication skills, ensuring optimum team efficiency – a team player
Experience working as a Senior Team Administrator/PA within a fast-paced organisation (essential)
High level of proficiency in Microsoft programmes and have good knowledge of Outlook, Excel, Powerpoint and Office365
Fast accurate document production
Superior organisational skills and supreme efficiency
You will need strong administrative and organisational skills, be driven, focussed and resourceful and be completely flexible.
Keen attention to detail and high standards is particularly important. Excellent verbal and written communication skills. A good work ethic with a positive ‘can do’ attitude and approach.
This is a support position within the company and you will, therefore, have the opportunity to grow and develop in the role.
You will be responsible for travel schedules, hotel and meeting arrangements.
You will need to be IT literate and have a good working knowledge of Outlook, Excel and PowerPoint and Office365.
The ideal candidate should have 5 years’ experience in an office environment and Pharma experience would be beneficial.
