Order Management Analyst
The Order Management Analyst will be responsible for executing the logistics export activities with Company Sites and Replenishment centres to PL?s and distributors.
The Order Management Analyst is responsible for coordinating the end-to-end transport activities working closely with origin teams such as warehouse, planning, distribution quality /cold chain validation team, 3rd party sites as company affiliates and /or distributors globally
You will manage the international order process from incoming order to billing and revenue recognition, in the best conditions of quality, cost and delivery lead time and through the optimum utilisation of internal and external Logistics partners.
You will control end-to-end transportation with Freight forwards and carriers to ensure products are delivered to the global customers in a reliable, cost-effective and compliant fashion.
You will closely collaborate with internal and external customers Supply Chain partners, like Commercial Operations, Planning, Quality.
Responsibilities

Order Management
Perform the order processing from incoming order to final delivery in a quickly and efficient manner in order to meet customer requirements
Coordinate the transportation of commercial shipments and ensure the drug product arrives safely to their final destination on time and within temperature and product specifications.
Communicate issues and delays to appropriate groups and facilitate resolution as required
Manage internal and external orders to meet customer expectations while adhering to all applicable compliance requirements, laws and regulations.
Order and document processing for commercial shipments:
Creating and maintenance of Customer master data
  • Order entry and picking of commercial goods
  • Issuing of packing list, invoice, loading list and CMR
  • Provide Certificate of Origin; Certificate of Analysis
  • Compiling documents necessary of import-licenses
  • Preparing and sending documents to Chamber of Commerce and Embassies for legalisation.
  • Checking the Letter of Credit details
  • Ordering of transport with forwarders
  • Checking the issued AWB
  • Forwarding of documents and pre-alerts
  • Filing of complete export documentation
  • Issuing of credit- or debit notes

Customer Order Coordination
Work closely with Commercial Operations to review and understand country-specific requirements securing an efficient Sales Order Processing.
Work closely with the Planning function to ensure adequate inventory levels at the Contract Manufacturers and customers.
Work closely with multiple Contract Manufacturing Organisations (CMO's) to warrant flawless execution of the shipments
Coordinate Transport, issue shipping plans; Optimise distribution costs and ensure global trade compliance.
Delivery consolidation, transport planning (deciding on the shipping date, costs, method and taking into consideration the order date the proper transport according to lane qualification)
Work closely with IT to ensure that all transactions are performed as required in ERP system (SOX compliance).

Report and Measurement:
Contribute to Large Order Tracking Reporting
Create Shipment Report on weekly base and communicate to all required stakeholder
Contribute to Transportation performance by collecting KPI metrics on supply chain operation, measure the performance of the shipments and set corrective actions.

Project implementation and support product launches:
Support Product Pipeline Expansion and geographic expansions, ensure successful launches of products, utilising project management skills and tools and drive flawless execution across cross-functional, cross-divisional, and with outside service providers within overall project timeline or customer expectations.

Education and Experience Requirements
Supply Chain, Logistics or related field with minimum 3 years of professional experience in global end-to-end Supply Chain, Logistics (Distribution & Transportation), warehousing, cold chain expertise, and international freight management.
